About the Role
UMD’s Department of Intercollegiate Athletics is looking for a Program Management Specialist to support the Facilities, Operations & Events office. In this role, you will provide critical administrative and operational support, serving as an integrator between athletics and several campus departments. You will help coordinate logistics, procurement, communications, and events to make sure the department runs smoothly on a daily basis and during major gamedays.

Key Responsibilities

  • Act as the main office administrator, coordinating day-to-day operations including transportation, mail services, telecommunications, and security.
  • Manage procurement activities: process supply orders, control inventories, and liaise with vendors to meet department needs.
  • Schedule and support meetings, prepare operational reports, and maintain accurate records to track departmental performance.
  • Serve as the department’s point person for logistics during key events, especially football and men’s basketball gamedays: coordinate volunteers, security, and facilities.
  • Supervise, train, and mentor student employees by assigning tasks, tracking progress, and supporting their development.
  • Provide exceptional customer service: handle incoming inquiries professionally, and proactively resolve operational or logistical issues as they arise.

Skills & Competencies

  • Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, enabling clear and professional interactions with staff, students, and external departments.
  • Proficiency with office software (e.g., Microsoft Office), and experience managing procurement or budgets.
  • Ability to work well with different campus departments – from Facilities to Transportation to Telecommunications.
  • Demonstrated ability to lead and mentor student workers, and to handle event logistics with composure and clarity.

Minimum Qualifications

  • Bachelor’s degree required.
  • At least two years of experience in an administrative or operations role.
  • Proven experience managing multiple tasks, coordinating logistics, and providing administrative support in a professional setting.
  • Experience with procurement, inventory management, and office coordination is highly desirable.
  • Demonstrated ability to work collaboratively with cross-functional teams and support event planning.

Preferred Experience

  • Experience working in a collegiate athletics department or large facility operations environment.
  • Familiarity with game day operations, event logistics, and large venue coordination.
  • Prior exposure to facilities or operations management in a higher-education context.
