Role Summary

The UN Administrative Assistant provides comprehensive administrative, financial, human resources, and contract management support to the UN Resident Coordinator’s Office in China. The role is critical to maintaining operational continuity, ensuring compliance with UN policies, and enabling effective coordination among UN agencies operating in the country. By supporting daily office functions and long-term planning processes, the UN Administrative Assistant contributes directly to the delivery of UN development priorities and SDG-related programmes.

This position requires a high level of discretion, organizational ability, and technical knowledge of UN systems, particularly enterprise resource planning (ERP) platforms such as Umoja.


Key Responsibilities

The UN Administrative Assistant will be responsible for a wide range of operational and coordination tasks, including:

  • Managing human resources administration such as recruitment processing, contract issuance, staff records, and performance management documentation.
  • Coordinating budget preparation and financial monitoring, including tracking expenditures across multiple funding sources.
  • Processing personnel and financial transactions through UN ERP systems such as Umoja, ensuring accuracy and compliance.
  • Supporting contract administration, including verification of invoices, vendor payments, and service agreements.
  • Drafting official correspondence and documentation related to administrative, financial, audit, and human resources matters.
  • Organizing meetings, conferences, official travel, and logistical arrangements for the RCO.
  • Maintaining filing systems and databases to ensure proper record management.
  • Supervising and guiding junior General Service staff when required.

Through these duties, the UN Administrative Assistant ensures that the RCO functions efficiently and that senior officials can focus on strategic coordination and policy engagement.

Required Qualifications

Education

  • Completion of secondary education (high school diploma or equivalent) is required.
  • A relevant first-level university degree may substitute for two years of required experience.
  • Certification or training in administration, finance, accounting, human resources, or audit is desirable.

Experience

  • A minimum of seven years of progressively responsible experience in administration, finance, accounting, human resources, or a related field.
  • Experience working with ERP systems such as Umoja or similar platforms is desirable.
  • Previous experience with the United Nations or another international organization is an advantage.
  • At least one year of experience in data analytics or reporting is desirable.

Languages

  • English: Required (reading, writing, listening, and speaking at working proficiency).
  • Chinese (Mandarin): Required (full professional proficiency).
